Search for "invoice software" is up about 150% worldwide on Google Trends.

"Invoice app" is up with it. "Invoice management" roughly doubled.

What people want is a way to bill a client. What they get is a login, a chart of accounts, and a reminder that the trial ends in 12 days.

What is invoice software supposed to do?

Invoice software is a tool that creates a dated, itemized request for payment and gives you a file you can send. The job is narrow: your details, the client's details, line items, tax, a total, a due date, and a PDF. Everything past that is accounting, payments, or CRM wearing an invoice label.

If you send 4 to 15 invoices a month, that narrow job is the whole job. A plumber in Geelong sending eight tax invoices.

A designer in Austin sending six. They wanted the client to know what to pay, and by which date.

The definition we use: invoicing software formats the bill. Accounting software records the business.

Payments software collects the money. One product can do all three; most people searching this phrase only needed the first.

How is invoice software different from accounting software?

Invoice software stops at the document. Accounting software keeps a general ledger: bank feeds, charts of accounts, payroll, inventory, and GST or sales-tax reports. Xero, QuickBooks, and MYOB sell invoicing on the homepage and a full bookkeeping system behind the button.

That's useful when you have staff, stock, or an accountant who lives in the file. It's a lot of product when you wanted invoice 2026-009.

We don't think those products are bad. We think the label is sloppy.

You can invoice in Xero. You can also reconcile 14 bank accounts.

You don't need the second thing to do the first. If your software needs a 14-day trial to send invoice number 1, it's the wrong category of product for that night.

When is Xero, QuickBooks, or MYOB the right tool?

You need a suite when money moves through more pipes than invoices: employees, inventory, several bank accounts, BAS or sales-tax lodgement, or an accountant who asks for a login. Cloud accounting for a small business is the right buy in those cases. It's the wrong buy if you only need a PDF this afternoon.

Xero is the accountant-default cloud file in Australia and the UK. Ignite lists at A$37 a month including GST from 1 July 2026, with a 20 invoices and quotes per month cap.

Grow lists at A$78 a month. Confirm live figures on Xero's AU pricing page.

MYOB is the Australian incumbent. Business Lite lists at A$315 a year after the offer period; Business Pro at A$70 a month after the intro price (MYOB pricing). Lite and above lodge BAS. Pick MYOB when you already have a MYOB file.

QuickBooks Online is the US default. Simple Start stayed at US$38 a month in August 2026. Essentials moved to US$85 for renewals from 1 August 2026 (Intuit pricing). Pick it when your CPA already closes the year in that file.

Comparing Xero and MYOB for a sole trader is usually a books question, not an invoice question. Both print a tax invoice.

Google Trends in Australia has "xero invoice" and "myob" down about 10 to 20% over the last year. People still need the PDF. Fewer people want to rent the suite to get one.

The trap is buying the suite "for later." Later is a story.

On 10 invoices a month, Xero Grow is about A$7.80 per invoice before you type a word. Invvy is A$0 per invoice.

The suites earn that fee if they save you an accountant's hour. They don't earn it if you only needed a PDF.

What is the difference between invoicing and bookkeeping?

Invoicing is asking to be paid. Bookkeeping is recording what already happened: money in, money out, GST collected, GST paid, and what is still owed.

You can invoice without keeping books. You can't keep honest books if you never wrote down the sales.

A lot of "invoice management" search is people trying to do both in one tab. For a sole trader, management is: number the document, send it, mark it paid, keep the PDF.

A folder named 2026 and a browser library can do that. Buy the ledger for the BAS, not to name a file.

Where should invoice data live?

If the tool is a cloud suite, your invoices live on their servers, behind an account you can lose. If the tool is Invvy, the draft lives in your browser.

We also keep a local library on your device: business profile, saved clients, and document history. That isn't a cloud account.

We can't read the invoice, and we don't have a copy. Back up the PDF; local storage dies if you clear the browser. The file you download is the record.

What does Invvy not do yet?

Invvy doesn't email the invoice to your client, and it doesn't take card payments. Those are real gaps.

We aren't going to pretend a Pay now button exists. You download the PDF, attach it to your own email, and put BSB, PayID, ACH, or a payment link you already have in the notes.

It does do quotes, receipts, and proforma invoices as document types in the same editor. Change the title, download the file.

It doesn't turn a quote into a posted sale in a ledger, because there is no ledger. If you need Stripe on the invoice tomorrow, use Stripe Invoicing or the suite you already pay for.

We'd rather lose the comparison than lie about a feature. The most common question we hear is "can I just send it from here?"

Not today. The PDF still leaves your outbox faster than a trial account leaves your inbox.

How do you choose invoice software in five questions?

Ask these before you start a trial. If you answer no to the first four, you want an invoice, not a platform. Five minutes here saves a year of A$37 to A$78 coming off the card.

  2. Does my accountant already live in Xero, MYOB, or QuickBooks?
  3. Do I need the client to pay by card on this document?
  4. Do I send more than about 20 invoices a month, with recurring bills?

When clients pay by transfer, you send a handful of invoices, and you don't need the tool to lodge a BAS or run payroll. Open the page, type, download, attach the PDF to your own email. Watch for watermarks, three-invoice caps, and email gates; those are trials. Invvy has none of those. It also doesn't email the file or collect cards.

What is the difference between invoicing and bookkeeping?

Invoicing asks for money. Bookkeeping records money that already moved, plus what is still owed and what tax you collected.
