What is a tax invoice, and when do you actually need one?

A tax invoice is Australia's GST document that lets a registered buyer claim a GST credit. It must show it is a tax invoice, your identity and ABN, the issue date, a description and price, the GST (or "Total price includes GST"), and which sales are taxable. Sales of $1,000 or more also need the buyer's identity or ABN.

If you are GST-registered in Australia, the document your client needs is a tax invoice. That phrase is an ATO legal term. Put it on the page. Leave it off if you are not registered. Getting that wrong is the GST paperwork mistake we see most.

What is a tax invoice?

A tax invoice is the document a GST-registered supplier issues so a GST-registered buyer can claim a GST credit on their business activity statement. Section 29-70 of the GST Act 1999 sets the test. The ATO tax invoice page turns it into a field list.

It is still a payment request. The extra job is GST evidence. Your client cannot claim the 10% back on purchases over $82.50 (including GST) unless they hold a valid tax invoice. That is why they chase the wording.

Who must issue a tax invoice in Australia?

Only a GST-registered business should issue a tax invoice, and only for taxable sales. Register once GST turnover hits $75,000 ($150,000 for most non-profits), or from dollar one for taxi, limousine, or ride-sourcing travel. The ATO wants that registration within 21 days of crossing the line. See registering for GST.

If a customer asks for a tax invoice, you have 28 days to provide one, unless the sale is $82.50 or less including GST. Under that amount a tax invoice is not required, though a receipt still helps both of you.

Not GST-registered? Issue a normal invoice. Do not add 10%. Do not title it Tax Invoice. Still quote your ABN. If a business pays you more than $75 excluding GST and you skip the ABN, they generally withhold the top tax rate (47% as of 2026, including the Medicare levy) and send it to the ATO. What must a tax invoice include?

The ATO splits the list at $1,000. Under $1,000 you need seven details a reader can clearly work out. From $1,000 you also need the buyer's identity or ABN. Use the longer layout on small sales too. One template, fewer mistakes.

"Enough information to clearly determine" is the ATO's phrase. The words do not have to sit in labelled boxes. A reader still has to be able to pick each fact off the page. An ABN that does not match the name on the Australian Business Register is a broken tax invoice.

Yes, in practice. The GST Act says it must be clearly ascertained that the document was intended to be a tax invoice. ATO examples put Tax Invoice at the top. "Invoice" alone is not enough once GST is in play. Recipient-created versions must say Recipient Created Tax Invoice instead.

If you are not GST-registered, those words are the wrong ones. We have seen sole traders copy a friend's template and print Tax Invoice on a $600 job with no GST registration. Their client then tried to claim a credit the ATO will not allow.

How do you show GST on a tax invoice?

GST in Australia is 10%. On a fully taxable sale, GST is exactly 1/11 of the GST-inclusive price. Show the GST figure on its own line, or, if that 1/11 rule holds for the whole document, write Total price includes GST. Mixed invoices need more care.

Worked numbers. Ten hours at $110 GST-inclusive is $1,100 including GST. GST is $100. The exclusive amount is $1,000. Write all three. A $1,210 inclusive total is $110 GST and $1,100 exclusive. The buyer needs those figures for their BAS.

The second line is the trap. Some food, medical, and education supplies can be GST-free. Financial supplies and residential rent are often input-taxed. On a mixed tax invoice the ATO wants each taxable sale identified, the GST amount, and the total payable. Do not bury a GST-free line inside "total includes GST."

Is a tax invoice the same in the UK and the US?

No. Tax invoice is an Australian GST name. The UK has a VAT invoice. The US has no matching legal name. Calling a New York invoice a tax invoice does not make it one, and it confuses Australian clients who will look for an ABN that you do not have.

A full UK VAT invoice, under HMRC VAT Notice 700/21, needs a sequential number, tax point, dates, both parties' details, your VAT number, descriptions, quantities, net amounts, VAT rates, the VAT in sterling, and the unit price. Retail sales of £250 or less can use a simpler VAT invoice. Keep exempt lines off that simplified form.

In the US, the IRS cares that you can support income and expenses. It does not prescribe a document titled Tax Invoice. State sales tax, if you collect it, belongs on the invoice as a labelled amount. That is still just an invoice.

What mistakes make a tax invoice invalid?

Most broken tax invoices fail one ATO check. The buyer then cannot claim the credit until you fix the PDF.

  • No ABN, or an ABN that does not match the seller name. Check it on the ABR first.
  • The title says Invoice. Add Tax Invoice. Two words.
  • GST taken as 10% of the inclusive total. That overstates it. 10% applies to the exclusive amount; 1/11 to the inclusive amount.
  • Buyer details missing on a $1,400 sale. Required from $1,000.
  • A GST-free line buried in "total includes GST." Split the lines.
  • A tax invoice when you are not GST-registered. Wrong document. Your client will claim a credit they should not.

Electronic files are fine. The ATO accepts a digital tax invoice if it carries every required fact. A pretty PDF that hides the ABN in a logo is not fine.

How do you make an Australian tax invoice?

Title it TAX INVOICE, set currency to AUD, label the tax GST, and set the rate to 10%. Put your ABN next to your name. Add the buyer's name on anything that might hit $1,000. Show GST as its own line.

Do I need a tax invoice if I am not GST-registered?

What happens if my tax invoice is missing an ABN?

It is not a valid tax invoice. Your GST-registered client cannot claim the GST credit on purchases over $82.50 until you send a corrected document. Separately, a missing ABN on any business invoice over $75 excluding GST can trigger no-ABN withholding at the top tax rate, currently 47% including the Medicare levy.

Can a receipt be a tax invoice?

Yes, if the receipt meets every tax invoice test: the Tax Invoice wording, ABN, date, description, GST treatment, and buyer details when the total is $1,000 or more. A till docket that only shows a total usually fails. For sales of $82.50 or less, a receipt or docket is enough for the buyer's GST records.

Is a tax invoice required for sales under $82.50?

No. The ATO does not require a tax invoice for a sale of $82.50 or less including GST, even if the buyer asks. You still need some record if you are the buyer claiming a small GST credit: a docket, a receipt, or a note with the supplier's name, ABN, date, description, and amount.

What is the difference between a tax invoice and a VAT invoice?

A tax invoice is the Australian GST document. A VAT invoice is the UK document. Both prove input tax, but the fields differ. Australia keys on ABN, the Tax Invoice title, and a $1,000 buyer-detail threshold. The UK keys on a VAT number, sequential numbering, and a tax point. Do not swap the titles across countries.

Can I email a tax invoice as a PDF?

Yes. The ATO accepts a digital tax invoice if every required fact is on it. Email the PDF, keep a copy, and put the invoice number in the file name. A portal upload of the same file is fine. A photo of a handwritten page can work if every field is readable. Typing it once is cleaner.
