What should an Australian invoice template include?

An Australian invoice template should include the seller's name and ABN, the issue date, a description of what was sold with quantity and price, the GST amount or the line "Total price includes GST", and enough detail to show each sale is taxable. Sales of $1,000 or more also need the buyer's name or ABN. The ATO lists those points on its tax invoice page.

A unique invoice number isn't on the ATO's seven-point list for sales under $1,000. Put one on anyway; you'll want AU-2026-014 when you chase a late transfer.

Do I need an ABN on my invoice?

Yes, if you're issuing a tax invoice. The ATO's ruling GSTR 2013/1 says the supplier's identity and ABN must be clearly ascertainable from the document itself. A trading name on the ABR isn't enough: print the 11 digits.

Leave the ABN off and two things break: your GST-registered client can't claim the credit, and if the payment is more than $75 excluding GST the payer is told to withhold 47% (ATO no-ABN withholding). On a $2,200 invoice that's $1,034 held back.

You get an ABN free from the Australian Business Register, and you don't need a company. Sole traders invoice under their own legal name plus the ABN (invoicing without a company).

How do I show GST at 10% on a tax invoice?

GST in Australia is 10% on taxable sales. Show the GST amount on its own line, or, if GST is exactly one-eleventh of the total, write "Total price includes GST."

Either form satisfies the ATO. Don't invent a third rate.

Worked numbers: quote $1,100 plus GST and you get GST of $110 and a total of $1,210.00. Quoted $1,210 inclusive, GST is $1,210 ÷ 11 = $110.00. Same money.

Only GST-registered businesses charge GST. Register once GST turnover hits $75,000 ($150,000 for non-profits), or immediately for taxi or ride-sourcing travel (ATO GST registration).

Not registered? Don't add a GST line, and don't title the document Tax Invoice.

Why must the invoice say Tax Invoice?

The words Tax Invoice tell the ATO, and the client's software, that the document is meant to support a GST credit. A tidy PDF titled Invoice can still fail that test. Those two words do it.

If you're not GST-registered, skip that title. Call it Invoice.

How do I fill a free Australian invoice template?

Open the preset, swap the sample lines for the real job, and download the PDF the day you deliver. You don't need Xero or MYOB for this.

  1. Open the AUD tax invoice preset or the Australia page
  2. Put your legal name, address, and ABN at the top
  3. Add the client; their identity or ABN on totals of $1,000 or more
  4. Number it, date it, write a due date
  5. Itemize the work in AUD on A4
  6. Keep GST at 10% if you're registered; delete the tax row if you're not
  7. Add BSB, account name, and account number
  8. Download the PDF and keep a copy for five years

Worked example. Jordan Hale, GST-registered sole trader in Brunswick, redesigned a menu for Northside Coffee in Fitzroy. Invoice AU-2026-014, issued 20 August 2026, due 3 September 2026.

If a customer asks for a tax invoice, the ATO gives you 28 days, unless the sale is $82.50 or less including GST. Keep records five years (ATO record-keeping).

What should an Australian invoice template include?

Your legal name, ABN, issue date, a description with quantity and price, and either a GST amount or the line "Total price includes GST." The document must read as a tax invoice if you are GST-registered. Sales of $1,000 or more also need the buyer's name or ABN. Add an invoice number even though it isn't on the ATO's short list, so clients can pay against it.

Can I use a US Letter invoice template in Australia?

You can, but you shouldn't. Australian printers and clients expect A4. US Letter is shorter and wider, so footers clip and the page looks like a US export. Set paper to A4 and currency to AUD before you send. The Australia preset does both.

Should I add 10% GST if I am not GST-registered?

No. If you aren't registered, don't add a GST line and don't title the document Tax Invoice. You still put your ABN on the invoice if you're carrying on an enterprise, so the client isn't pushed into 47% no-ABN withholding. Register once GST turnover hits $75,000, or earlier if you choose to, then start issuing tax invoices from that date.

Why do Australian templates use A4 and AUD?

A4 is the paper size Australian offices print. US Letter clips footers on a local tray. AUD is the currency accounts payable expects. Write the code in the header so a foreign client doesn't pay the same number in US dollars. A $1,800 job billed in the wrong currency is a $1,800 argument. The Australia template keeps both defaults.

Can a sole trader issue a tax invoice without a Pty Ltd?

Yes, once they're GST-registered. A sole trader invoices under their own legal name plus an ABN. No company seal is required. If you're under the $75,000 GST threshold and not registered, send a plain invoice with your name and ABN. The ATO's tax-invoice rules attach to GST registration, not to being a company.

How do I fill a free Australian invoice template?

Is a PDF from a browser template valid for the ATO?

Yes, if every required fact is on the page. The ATO accepts a digital tax invoice. Validity comes from the fields, not from the software logo in the footer. Check the ABN against the Australian Business Register before you send the first one. Keep the downloaded PDF as the record; a browser draft isn't your archive.
