What is an invoice, and what does one actually do?
An invoice is a dated, itemized request for payment that a seller sends a buyer after delivering goods or services. It names both parties, lists what was delivered, shows how much is owed and by when, and carries a unique number so both sides can track it. You send it before the money arrives. A receipt comes after.
If you sell work, the invoice is the document that turns a finished job into a number someone can pay. It is not a contract by itself, and it is not proof the client already paid. It is the ask: what they owe, and when.

What is an invoice?
An invoice is a dated, numbered request for payment issued by the seller after goods or services have been delivered. It records who billed whom, what was supplied, the amount due, and the date that amount should arrive. Until the client pays, it sits in your accounts receivable: an asset on paper, and a reminder on yours.
Say you wrap a brand refresh on 1 March 2026 and send invoice 2026-014 for $1,800 on net-14 terms. The due date is 15 March 2026. Write that date in words. "Net 14" is a rule. "Due 15 March 2026" is something an accounts-payable clerk can schedule.
We'd never send an invoice titled only "Bill." Finance teams search their inbox for the word invoice. Give them that word.
How does an invoice differ from a bill and a receipt?
An invoice and a bill are the same document from opposite desks. You send an invoice. Your client books it as a bill to pay. The number, lines, and total match. A receipt is a different document: it confirms the money already moved.

What does an invoice need to include?
A usable invoice answers four questions without a follow-up email: who is billing, who is paying, what was delivered, and when the money is due. Miss one and you hand the client a reason to wait.

What does a finished invoice look like?
Here is a short one for a copywriting job billed 1 March 2026 on net 30. Every line adds up. That is what client software checks.

No tax on this one: the seller is not registered. If you charge tax, show the rate and the amount on their own lines. A one-cent mismatch can park the invoice in a queue.
Is an invoice a legal document?
An invoice is evidence of a debt, not a contract on its own. What binds the client is the agreement behind it: an accepted quote, a signed statement of work, or work they asked you to do. Once that exists, a reminder or a small-claims filing starts from this PDF.
The US has no federal law that dictates invoice layout. Your client's accounts-payable system effectively does. UK and EU VAT rules do dictate fields if you are VAT-registered. Australia goes further: a GST-registered seller issues a tax invoice. That legal name has its own page: tax invoice. This is general information, not legal advice.
What is a tax invoice in Australia?
In Australia, a tax invoice is the GST document that lets a GST-registered buyer claim a GST credit. The ATO tax invoice rules require the Tax Invoice title, your identity, your ABN, the issue date, a description and price, the GST amount (or "Total price includes GST"), and which sales are taxable. Sales of $1,000 or more also need the buyer's identity or ABN.
If you are not GST-registered, skip the Tax Invoice title and skip the 10%. Issue a normal invoice. US sellers have no matching legal name: you send an invoice, and sales tax follows state rules.
When should you send an invoice?
Send it the day you deliver the work or hit the agreed milestone. Waiting until month-end is an interest-free loan the client did not ask for. For retainers, pick one date each month and stick to it so the payer can budget.
Late payment is common. In Intuit QuickBooks' 2026 Small Business Late Payments Report, 59% of US small businesses had invoices overdue by 30 days or more, and those carrying unpaid invoices were owed $17.7K on average. A lot of that is missing fields and the wrong inbox, not malice.

How do you make an invoice without special software?
You can write one in a spreadsheet, Word, or a browser tool. Send a PDF, named something searchable like invoice-2026-014-northpeak.pdf, to whoever processes payments.

Frequently asked questions
What is an invoice used for?
An invoice tells a client what they owe after you deliver work. It lists the parties, the items, the total, and the due date so the payer can process it without emailing you. Keep a copy as your income record. After they pay, send a receipt or mark the same invoice paid.
Who issues an invoice, the buyer or the seller?
The seller issues it. You did the work, so you write the request. The buyer records that same document as a bill. The exception is a recipient-created tax invoice in some Australian trades, where the buyer writes the GST document. That is a special ATO setup, not the default.
Is an invoice proof of payment?
No. An unpaid invoice proves a debt, not a payment. Proof of payment is a receipt, a bank record, or the same invoice stamped paid with the date and method. If a client asks whether the PDF they have is a receipt, check the balance. If it still shows an amount due, it is not proof they paid.
Do I need an invoice for one-off personal work?
You should still send one. A $400 weekend job needs the same paper trail as a $4,000 project: who, what, how much, and when. Your client may need it for their own books. You will want it at tax time. A one-page PDF is enough. You do not need letterhead or a company.
How is an invoice different from a tax invoice?
A tax invoice is Australia's GST version of an invoice. It must say Tax Invoice, show your ABN, and show the GST. Only GST-registered businesses should issue one. In the US there is no matching legal name. You send an invoice, and you add sales tax only if your state rules say so.
