What is an invoice PDF?

An invoice PDF is an invoice stored as a PDF: a fixed-page file that looks the same on a phone, a Windows PC, and a Mac. The text stays selectable. The total does not jump when someone opens it. That is why AP teams ask for PDF.

A $2,400 invoice for a March photoshoot should still show $2,400, invoice 2026-033, and the due date 3 April 2026 when the bookkeeper opens it in October. A .docx cannot promise that. A screenshot of Notes cannot either.

Why send a PDF instead of Word or a printed page?

A Word or Google Doc invoice is easy to edit after you send it. That is the problem. Anyone in the chain can change a total by accident. A printed page works if you hand it over at the job. It is a poor email attachment, and hard to search later.

Print-to-PDF still beats a photo of a notebook. Use it if the invoice already lives in a spreadsheet and you are late. Turn off headers and footers. Set paper to A4 or Letter. If a lonely line sits on page 2, tighten the layout and print again.

How should you name and store invoice PDFs?

Name the file so you can find it without opening it. invoice-2026-033-northpeak.pdf beats final-FINAL-v3.pdf. Put the number first if you sort by name. Keep a folder per year. Storage is cheap. Reconstructing a 2026 invoice in 2031 is not.

  • Keep paid and unpaid PDFs. Mark paid copies if you like: invoice-2026-033-paid.pdf
  • Do not reuse a number when you fix a mistake. Void the old PDF, issue 2026-034
  • After payment, export a receipt PDF and put the same number in the notes

Does an invoice PDF need a signature or a special page size?

No signature. The US, UK, and Australia do not require one on a standard invoice. A signature box is decoration. What some countries do require is tax wording: GST-registered Australian sellers need a tax invoice, not a scribble at the bottom.

Use A4 if you and the client are outside the US. Use Letter if you are both in the US. Mixing them usually still prints, with a thin white strip. Pick one. One page is the goal. If the lines will not fit, the descriptions are too long, not the paper.

One limit: some vendor portals only accept a PDF you upload into their form, and they ignore email. The PDF is still the right file. We do not know your client's stack. Ask once: "PDF by email, or through the portal?"

Is a printed invoice as good as a PDF?

In person, yes: a printed page with the same fields is a valid invoice in most places. For email and portals, send the PDF. A printout you later photograph is harder to search, easier to lose, and often too blurry for a portal. Print a copy for your folder if you like. Email the file.

What size should an invoice PDF be?

Aim for one A4 or Letter page and a file under about 500 KB. Most clean invoices land between 40 and 120 KB. If the file is several megabytes, shrink the logo and export again. Portals sometimes fail silently on large uploads. Two pages are fine for many lines.

Should I send an invoice as PDF or Word?

PDF. Word files reflow, they invite accidental edits, and many AP systems reject them. Send a PDF named with the invoice number. If a client asks for Excel so they can copy lines, you can send a spreadsheet as well. The document of record is still the PDF.

Can I edit an invoice PDF after I send it?

You can export a new file, but do not silently replace the old one. If the first PDF was wrong, void it, issue a new invoice number, and say what changed. Editing a sent PDF and resending it with the same number is how two totals end up in two inboxes.
