Invvy vs QuickBooks Online: A One-Minute Invoice vs a Full Ledger
Invvy is the right pick when you need a PDF invoice in about a minute, with no account and no monthly fee. QuickBooks Online is the right pick when your accountant already lives in it and you need a ledger, bank feeds, and reports. Invoicing exists on every QuickBooks Online plan, but it rides on a $38–$340/month subscription.

If the job is 'I need a PDF invoice in one minute,' Invvy is the shorter path. If the job is 'my books, my bank, and my accountant already live in QuickBooks,' stay there. Price first, then the table.
What's the difference between Invvy and QuickBooks?
Invvy is a free, no-signup, browser-only invoice generator that downloads a watermark-free PDF. QuickBooks Online is Intuit's cloud accounting suite. Every QuickBooks Online plan can create and send invoices, but invoicing is one room in a house built for ledgers, bank feeds, payroll add-ons, and tax-season reports.
| Dimension | Invvy | QuickBooks Online |
|---|---|---|
| List price (US, Aug 2026) | Free | $38–$340 / month |
| Account required | No | Yes, plus a subscription |
| Time to first PDF | About one minute | Signup, setup, then invoice |
| Watermark | None | None on paid plans |
| Email the invoice | Not today; you attach the PDF | Yes, from the app |
| Card collection | No | Yes, about 2.99% per card |
| Bank feeds and reports | No | Yes, on every plan |
| Where data lives | Your browser only | Intuit's cloud |
| Best for | A PDF, right now | Books your accountant already uses |
Same word on the box: invoice. Different products. One prints a file. The other runs a company file.
How much does QuickBooks Online cost in 2026?
US list prices moved again in August 2026. Fourlane, an Intuit reseller, published the new standard monthly rates on 6 August 2026: Essentials $85, Plus $140, Advanced $340, for renewals on or after 1 August 2026. Simple Start stayed at $38. Intuit's own Simple Start page still advertises $38 list, often with 50% off for the first three months ($19). Promo math expires. Budget the full rate.
| Plan | List / month | Users | Invoicing extras |
|---|---|---|---|
| Simple Start | $38 | 1 + accountant | Create, send, take payments |
| Essentials | $85 | 3 + accountant | Recurring invoices, time on bills |
| Plus | $140 | 5 + accountant | Progress invoices, projects |
| Advanced | $340 | 25 + accountant | Batch invoicing, extra fields |
Intuit has also sold a thinner Solopreneur tier near $20 a month for gig work. Names and promo rates shift, so don't treat any table as a quote until you confirm on the current QuickBooks pricing page.
A year of Simple Start at list is $456 before tax, payroll, or card fees. Plus at $140 is $1,680. That's a fair price for a ledger a CPA already knows how to close. It's a steep price for six freelance invoices.
Card collection is extra. Intuit's QuickBooks Payments rates (dated 30 April 2026) list 2.99% on cards and digital wallets paid through invoices, and 1% on ACH. On a $2,400 website invoice paid by card, that's $71.76 gone before the money hits your bank. ACH on the same bill is $24. There's no monthly processor minimum, but merchant approval is required.
Does QuickBooks Online include invoicing on every plan?
Create your invoice now
Free, no signup, PDF in seconds. Your data never leaves your browser.
Open the invoice generatorYes. Simple Start, Essentials, Plus, and Advanced all let you create invoices, send them, convert estimates, and turn on payment reminders. You don't need Plus to print a bill. You need a QuickBooks Online subscription, an account, and enough setup that the invoice posts to the right customer and income account.
You'll find the extras on higher tiers. Recurring invoices and time-to-invoice start at Essentials. Progress invoicing (bill a slice of an estimate) is a Plus-and-up feature. Batch invoicing is Advanced. If you invoice one client a week and never touch inventory, Simple Start already covers the document. You still pay for the suite around it.
That's the mismatch we keep seeing. Someone searches 'invoice,' lands in QuickBooks, and inherits a chart of accounts. The PDF was never the hard part.
Why do people say QuickBooks is too much for one invoice?
Review sites split in a way that is almost a product review by itself. On business-software panels, QuickBooks Online sits near 4.0/5 on G2 (about 3,700 reviews in 2026) and 4.3/5 on Capterra (about 8,400). On Trustpilot's US quickbooks.com page the score hovers around 1.1/5, driven by billing fights, support waits, and price hikes. The product can do the job. The surrounding experience is what people write about at 11 p.m.
- Complexity: threads on r/QuickBooks and r/smallbusiness repeat the same line in different words: I only wanted to send an invoice. The UI assumes you are posting to a ledger, because you are.
- Accountant-first gravity: bookkeepers train on QuickBooks, so clients get pulled in even when their own workflow is three PDFs a month.
- Price: Simple Start climbed from the mid-$20s to $38 over recent years; Essentials, Plus, and Advanced jumped again in August 2026. Reviewers treat the hikes as a feature of the brand.
- Support and billing: Trustpilot and NerdWallet's 2026 round-up both flag upselling, hard-to-reach help, and surprise charges more often than missing invoice fields.
None of that makes QuickBooks a bad accounting system. It makes it a poor first stop when the task is a $450 weekend job and a PDF due tonight. We've never seen a polite first invoice require a profit-and-loss report. You don't need a balance sheet to bill a Saturday install.
Search behavior matches the split. QuickBooks is still one of the top US queries in this category. Branded search has slipped about 7%, while 'invoice pdf' has roughly doubled and 'what is an invoice' sits at the top of the definitional cluster. People still type the brand. A growing share of them want a file.
What can Invvy not do that QuickBooks can?
Invvy won't email the invoice for you, collect a card, pull bank feeds, or build reports. Not today. If you need those, QuickBooks (or Wave, or Xero) is the honest answer. We built a generator, not a general ledger.
- No send-from-the-app email. Download the PDF and attach it yourself. How to write an invoice covers the email, including what to put in the subject line.
- No online card button. Put your bank details or a payment-link URL in the notes. How to get paid faster is blunt about deposits and due dates.
- No bank feeds, no reconciliation, no P&L. Your accountant can't 'log into Invvy.' There's nothing to log into.
- No cloud backup. Drafts sit in this browser's local storage. Clear the site data and the draft is gone. Keep the PDF.
Who should use Invvy, and who should stay on QuickBooks?
Use Invvy when you need a PDF invoice in one minute: a side gig, a first freelance bill, a one-off contractor job, or a client who asked for a document and not a portal. Use QuickBooks when your accountant already lives there, you need bank feeds and year-end reports, or you have staff posting bills every day.
A worked split. Maya invoices six clients a month, about $8,400 total, and her CPA files a Schedule C from a spreadsheet. Simple Start would cost $456 a year plus card fees if clients tap Pay Now. Invvy costs $0; she pastes bank details on the PDF and marks it paid when the transfer lands. Separate example: a five-person shop with inventory, two bank accounts, and a bookkeeper who already reconciles QuickBooks every Friday shouldn't move those books into a browser tab. That would be malpractice dressed up as simplicity.
Our stance, said plainly: if you only need the PDF, paying $38 a month for a general ledger is the wrong purchase. If your accountant already closes your month in QuickBooks, don't make them learn a new stack so you can skip a signup form.
We don't know your accountant's software, your state's sales-tax rules, or whether your client's AP portal will accept a homemade PDF. Corporate vendor systems (Bill.com, Coupa, Ariba) sometimes demand their own upload flow. This article is general information, not tax or legal advice. Check with a qualified professional before you change how you keep books.
How do you make a PDF invoice without opening QuickBooks?
Open the free invoice generator, fill From and Bill To, add line items, set a real due date, and download the PDF. No account. No watermark. Your numbers stay on this device. If you later outgrow a folder of PDFs, graduate to QuickBooks or another ledger with your eyes open, not because a trial countdown told you to. You'll know when the folder is no longer enough.

Frequently asked questions
Is Invvy a QuickBooks alternative?
Only for the invoice PDF. Invvy replaces the 'create and download a bill' step. It does not replace QuickBooks Online as accounting software: no bank feeds, no reports, no payroll, no accountant login. If your question is 'can I skip a $38/month ledger for one document,' yes. If your question is 'can I close my year without QuickBooks,' that depends on your books, not on a generator.
Can I create invoices in QuickBooks without paying?
You can start a trial. After that, invoicing sits on a paid QuickBooks Online plan. Simple Start's US list price is $38 a month as of August 2026, often discounted for the first three months. There is no permanent free QuickBooks Online tier that includes unlimited invoicing the way a no-account generator does. Intuit's Free and Lite SKUs, where offered, are not a full invoice studio.
How much is QuickBooks Online in 2026?
US list rates after the 1 August 2026 increase: Simple Start $38, Essentials $85, Plus $140, Advanced $340 per month, per Fourlane's 6 August 2026 write-up and Intuit's Simple Start page. Annual billing and reseller promos can undercut that. Card payments add about 2.99% per invoice paid by card, or 1% by ACH, on Intuit's 30 April 2026 rate card.
Does QuickBooks put a watermark on invoices?
Paid QuickBooks Online invoices do not stamp a 'made with QuickBooks' mark on the PDF the way some free generators do. You still pay the subscription. Invvy also ships a clean PDF, with no account and no monthly fee. Watermark is not the real cost of QuickBooks. The ledger and the price tag are.
Can Invvy email invoices or take credit cards?
No. Not today. You download a PDF and send it yourself, and you collect payment by bank transfer, check, or a payment link you paste into the notes. QuickBooks can email from the app and collect cards at about 2.99% once Payments is approved. If send-and-collect is the job, stay on a suite. If the file is the job, use the generator.
Should I leave QuickBooks for Invvy?
Not if your accountant already works in QuickBooks, you reconcile bank feeds, or you need payroll and inventory. Leave the suite only if you were paying for a ledger you do not use and your records already live in a spreadsheet or a shoebox of PDFs. Switching books mid-year is a tax-season problem. Talk to the person who files for you first.
Do I need QuickBooks if my accountant uses it?
Often, yes. Many US bookkeepers and CPAs standardize on QuickBooks Online because exports, accountant seats, and bank feeds already match their workflow. You can still issue a one-off PDF from Invvy and let them enter the sale. If they want live access to your file, paying for Simple Start or Essentials is usually cheaper than paying them to rebuild your year from email attachments.
